FINANCE & OPERATIONS MANAGER

We are an emerging and growing nonprofit organization, and as such are hiring an experienced Finance and Operations Manager to help us build our infrastructure and systems to ensure organizational efficiency, operate in ways that maximizes our resources and talents, and are fully compliant with all law and organizational policies.
POSITION DESCRIPTION
The Finance and Operations Manager oversees the day-to-day financial and administrative operations of CAAL. This position is responsible for managing all accounting and banking functions for the organization, and works closely with the Executive & Network Director to generate and track budgets both for internal purposes and outside funders. In addition, the Finance and Operations Manager performs administrative duties, manages the operations of the office, ensures compliance, manages human resources processes and employee benefits, and conducts other duties as assigned.
This is a full-time position. The Finance and Operations Manager reports directly to the Executive & Network Director and is a member of the CAAL staff team. At times, this position requires travel and work outside of normal business hours.
RESPONSIBILITIES
Finance:
• Manage the overall accounting and bookkeeping processes for the organization, tracking accounts payable and receivable, inventory and capital assets, banking, and payroll functions.
• Reconcile bank and credit card statements and generate monthly, quarterly, and yearly financial reports.
• Work closely with the Executive & Network Director and other staff and consultants on fundraising and development efforts to handle revenue for all initiatives, including but not limited to: creating and monitoring all grant budgets and grant-related financial information; processing and tracking all forms of donations; tracking use of restricted funds; produce revenue reports.
• Interface with CPA firm and other consultants to coordinate annual financial audits and oversee all compliance related registration (eg – Forms 990 and annual reports to the MN Secretary of State).
• Facilitate the annual budget process.
• Work with accounting to provide analysis of financial statements, including statement of activities, fund balance, and sources/uses of funds, to the Executive & Network Director and, as requested, to the Board of Directors.
• Provide administrative assistance, including oversight of facility vendors and contracts, and establishing and managing vendor accounts and relationships.
Operations:
• Responsible for office management including, but not limited to, telephone and internet services, connecting with building management, postage and UPS services, office supplies, copier and all lease equipment.
• Analyze and organize office operations and procedures to increase efficiency and productivity.
• Coordinate all employee benefits (including, healthcare, dental, vision, workers comp, life insurance etc. and payroll) for CAAL staff.
• Coordinate staff and board meetings.
• Lead staff orientation and on-boarding processes.
• Lead staff trainings on organizational processes and organizational compliance as needed to ensure efficiency and fluency.
• Support communications and events as needed.
• Work closely with the CAAL’s staff to manage brand inquiry and interest in CAAL’s work.
• Triage all questions that come into CAAL’s main lines.
• Coordinate staff retreats.
• Assist the Executive & Network Director (when needed and requested).
SKILLS AND QUALIFICATIONS
• A minimum of five years of experience with organizational administration and/or nonprofit management, including bookkeeping, financial reporting, payroll, etc.
• Bachelor’s degree in business, accounting, or organizational development related field
• A flexible, creative, entrepreneurial spirit and a demonstrated passion for the mission, vision and values of CAAL
• Exceptional written and oral communication skills
• Detailed oriented and great time management skills

• Strong analytical and organizational skills

ADDITIONAL QUALIFICATIONS CONSIDERED
• Experience with QuickBooks Online
• Bilingual fluency in other Asian languages
• Strong knowledge of Asian American communities and their needs, especially in Minnesota
• Understanding of network approach to building leadership
• Strong commitment to social justice and community building
• Strong interest in leadership support and development

REPORTS TO:

SALARY & BENEFITS:
This is an exempt position with a salary range of $48,000-$58,000. CAAL offers all employees full health, dental, and vision coverage, workers comp, long-term disability, basic life insurance 10 days of holiday and starting 4 weeks paid time off.
LOCATION: Saint Paul, MN at CAAL office.
